Connect AI Assistants (Claude, ChatGPT)

If you already work in Claude or ChatGPT, you can let the assistant work with your books directly: “What did we spend on software this year?”, “Which customers are more than 30 days overdue?”, “Book the rent for October”, “Send invoice 1042 to the customer again.” The assistant asks neoo, neoo answers from your ledger — and anything that would change your books is shown to you first and only carried out once you confirm it in the chat.

A connection always belongs to one person and one company, and only the owner and admins of a company can make one. The assistant never sees another company.

Developers and technical admins find the protocol, the sign-in and the full list of tools in the MCP server documentation.

Before you start

Two things have to be in place:

  1. AI connections are switched on for the dataset. An owner or admin does this once under System → Management → AI connections. They are off until someone switches them on.
  2. You are the owner or an admin of the company. Only they can connect an AI assistant; other users can’t, whatever their role. See Users & Roles.

Connect your assistant

  1. Open System → Management → AI connections and copy the Server URL. Each company has its own URL: a connector added with it can only ever be connected to that company.

  2. Add it to your assistant as a custom connector:

    • Claude: Settings → Connectors → Add custom connector, paste the URL, then Connect.
    • ChatGPT and other assistants: look for the connector or MCP server settings and add the URL there. The menus differ between products and change often; any assistant that supports remote MCP connectors works.
  3. Your browser opens neoo. Sign in if you aren’t already (with your usual second factor).

  4. On the consent page, check who is asking. A Verified domain line shows where the app comes from; an Unverified app warning means neoo could not confirm it. Only continue with apps you added yourself.

  5. Check the Dataset — it is already set to the company the URL belongs to — and choose the Access per area: No access, Read, or Read and change (change always includes reading). Reading starts selected for everything except the bank; bank access and every change level you choose deliberately:

Area Read Read and change also allows
Accounting Reports (trial balance, income statement, balance sheet, VAT return), chart of accounts, VAT codes, journal entries and the general ledger Post and change journal entries
Invoices and bills Customer invoices, vendor bills, payments, open items and workstations Create and change invoices and bills, record payments, send invoices by e-mail
Contacts Customers and vendors Create and change customers and vendors
Bank Bank account transactions, including IBANs and counterparties —
Documents Attached documents and the AI inbox Upload documents to the AI inbox
  6. Click Allow access. You’re sent back to the assistant, which can use neoo straight away.

Stop the approval prompts for reading. Out of the box, Claude asks for your approval the first time it uses each neoo tool, so a first question can bring several prompts. In Claude, open the neoo connector under Customize → Connectors and, under Tool permissions, set Read-only tools to Always allow. Leave Write/delete tools at Needs approval — changes are confirmed in the chat anyway. Other assistants have a similar setting.

The assistant is only offered what you ticked here. To give it more later, disconnect it and connect again with more permissions ticked.

Want the assistant in a second company? Copy that company’s Server URL and add it as a separate connector — give each connector the company’s name so you can tell them apart. Each connection is separate.

What the assistant can do

Figures come from the same reports and screens as in neoo — the assistant runs them, it does not calculate its own — so a total in the chat is the total on the screen.

Accounting

With Read, the assistant can:

  • look up the company details, base currency, currencies, tax codes and fiscal years (which are closed)
  • read the chart of accounts
  • produce a trial balance, an income statement or a balance sheet — for one period, up to twelve periods side by side (for example months or quarters), compared with the previous year, for one department or project, with the accrual or cash method
  • give the VAT return for a period with its ESTV figures (Ziffer) and the VAT payable, like Reports → VAT Report, and the tax postings per tax code
  • list journal entries and open one with its lines, and show the general-ledger lines of an account

A balance sheet for one department or project counts only the postings of that department or project, so balances such as bank accounts show its share of the movements, not a real balance. Department figures are meaningful in the income statement.

With Read and change, it can also post journal entries and change existing ones — date, reference, texts, department, currency and the lines with their accounts, amounts and VAT (debits must equal credits) — and make the same bulk changes as Batch Update.

Invoices and bills

With Read, the assistant can list and search customer invoices and vendor bills (open, overdue, by customer or vendor, by date or number), open one with its lines, items, taxes and payments, show an aging of open items, list the services that can be invoiced, show what is waiting in your workstations — and show the PDF of a customer invoice or a payment reminder exactly as neoo prints it.

With Read and change, it can also:

  • create a customer invoice with services — quantity, price, discount and text per item — with the customer’s terms, the QR reference and the taxes of the services, numbered and checked as in neoo
  • post a customer invoice or vendor bill with account lines and VAT (or save it as pending for approval)
  • change existing invoices and bills: dates, number, texts, customer or vendor, department, currency, Skonto, and the lines or items with their accounts, amounts and VAT
  • record a payment against one or more open invoices
  • e-mail an invoice or a payment reminder (1st, 2nd or 3rd) with its PDF — you see the recipients, subject and text before it goes out
  • change the texts of invoices and bills — description, notes, internal notes, line and item texts

Contacts

With Read, the assistant can search customers and vendors, including their address and open balance. With Read and change, it can also create a customer or vendor or update their details (address with street and house number, e-mail, phone, VAT number, currency, payment terms). Bank details are not changed this way.

Bank

With Read, the assistant can list imported bank transactions — matched or still open — and the balance per bank account.

Documents

With Read, the assistant can list the documents attached to a transaction and read one (PDF or image, up to 5 MB), and show what is in the AI inbox. With Read and change, it can also send a PDF, PNG or JPEG of up to 10 MB to the Inbox; it goes through exactly the same processing and workstation review as one you upload yourself — nothing is booked automatically.

Many transactions at once

Changes can cover several transactions in one request: for example, “add Internet or Mobile to the line descriptions of all Swisscom bills from September”, or “move these 12 bills to account 6510”. The assistant prepares each one and shows them all in a single preview — before → after for every transaction — and one confirmation carries them out. Text changes are saved all together or not at all; booking changes are saved one after another, each like a save in neoo, and you get the result of each. Up to 100 transactions per request for text changes, up to 25 for booking changes.

A changed transaction is saved exactly as when you save it in neoo: its payments, attachments and settings stay, and — as in neoo — its VAT review marks and the reconciliation of its lines are reset. The preview tells you when that happens.

How changes are confirmed

The assistant never changes anything on its first try. Instead:

  1. It shows you a preview — the exact booking with accounts, amounts and VAT, the transactions that would change and how, the payment and the open amount afterwards, or the recipients, subject and text of an e-mail.
  2. You confirm it in writing in the chat, for example “Yes, post it.”
  3. Only then is it carried out — through the same posting rules as in neoo.

A confirmation is valid for 15 minutes and can be used once. If the data changed in the meantime — someone paid the invoice, a period was closed — you get a new preview to confirm instead.

The usual rules of your dataset apply exactly as in neoo: closed periods, unique invoice and journal numbers, your posting permissions, workstation approval limits and required custom fields. If something isn’t allowed, the assistant tells you why and nothing is changed.

Every change appears in the audit log under your name, marked as made through the AI connection. Your written confirmation is recorded as well.

What it can’t do

  • See another company. A connection is tied to the company its URL belongs to. To use another company, add that company’s URL as its own connector.
  • Change anything without you. Every change needs your written confirmation in the chat, and only what you allowed on the consent page is possible. Nothing can be deleted through the connection.

Manage connections

  • Your own: open the gear menu → My Profile. AI connections lists every assistant you’ve connected, with its dataset and when it was last used. Disconnect cuts it off immediately.
  • Everyone’s in a dataset: System → Management → AI connections lists all connected assistants with the user who connected them. Anyone who can open that page can Disconnect one.
  • Switching off: when an owner or admin switches AI connections off, every connection to the dataset is disconnected. Switching back on does not restore them; people connect again.

A connection also ends on its own after 90 days without use. It ends for good when the user is no longer owner or admin of the company, loses access to it, or their account is deactivated — giving the access back does not restore it; they connect again.

Your data and your AI provider. What the assistant reads from neoo is sent to the AI provider you chose — Anthropic for Claude, OpenAI for ChatGPT — and handled under that provider’s terms and your account settings there. Connect only assistants your company is comfortable sharing accounting data with.
